Terms of use for role models

Participating in Inspiring the Future as a role model – what you need to do

 

Create and maintain a profile about yourself

  1. To become an Inspiring the Future role model, you must first complete a profile about yourself on the Inspiring the Future website.  
  2. When you make a profile, you will need to enter a password to access and edit your profile. Please ensure that your password is kept secure.
  3. Your profile will include personal information about you, including your name and information about your job. All personal information about you relating to the Inspiring the Future programme, including the information in your profile, will be collected, used, stored and shared by the Tertiary Education Commission (TEC) as set out in our privacy policy.
  4. Once completed, your profile will be published on the Inspiring the Future platform. It will be able to be viewed by school staff whose schools have signed up for the Inspiring the Future programme, as well as by people who work for approved careers education organisations* and/or trusted Inspiring the Future Aotearoa partners,* that are running Inspiring the Future events. The TEC may also be required to release your profile, or information in your profile, under the Official Information Act 1982. Please make sure you only include information in your profile that you are comfortable sharing publicly. Note that your contact details will only be available to an event organiser once you have accepted an invitation to attend an event.
  5. You must provide accurate information in your profile, and ensure that the information you provide in your profile does not contain any inappropriate, offensive or derogatory language or content. This includes choosing a profile photo that is appropriate to be viewed by schools and children, and relevant to your job or career.
  6. You must make sure that your profile is up to date at all times. If anything about your job changes, please update your profile to reflect the change.
  7. We will ask you to complete a criminal record check. To do this, you must complete the Ministry of Justice Criminal Record Check form. The TEC will make a decision about the results of your criminal conviction check before your profile is made visible on the Inspiring the Future platform. We will advise you of our decision.
  8. We may contact you if we have any questions or concerns about any aspect of your profile, and we may edit your profile or take down your profile, at any time, and for any reason. If possible, we will notify you if we edit or take down your profile. If you have concerns about any changes made to your profile by the TEC, or about your profile being removed, you may contact us at inspiringthefuture@tec.govt.nz.
  9. If you contact us directly in relation to issues with your profile, your information may be stored on our customer relationship management and support systems. Further details about this are available in our privacy policy.

    *Approved careers education organisations and trusted Inspiring the Future Aotearoa partners include the following. This list can be updated at any time:

    Engage with event organisers about Inspiring the Future events

    1. Once your profile is available on the Inspiring the Future platform, you may be contacted by schools, or by someone who works in careers education or for a trusted Inspiring the Future partner, and invited to take part in Inspiring the Future events they are planning. It is expected that, once you have signed up as a role model, you will try to make yourself available to participate in Inspiring the Future events when invited to do so. More information about how events may be run by schools is available on our Schools web page.
    2. You must respond to any communication you receive from event organisers, including invitations to events, even if you are unable to participate in an event.
    3. Once you have accepted an invitation to participate in an event, you must engage with the event organisers in relation to the event. We provide guidance to event organisers as to how events should be run: a guide to running in-person events and a guide to running online events. However, event organisers are entirely responsible for running their own events, and so you should discuss with them matters such as:
      • when the event will be held
      • where the event will be held (and where you should go on the day of the event), or if the event is an online event, what platform the event will be hosted on (eg, Google Meet or Microsoft Teams)
      • how the event will be run by the school
      • what you should do to prepare for the event, including the presentation you will give to students about your job/career
      • what you should do on the day of the event.
    4. You must comply with any school policies advised to you, including being prepared to undergo a Police check if requested by the school or event organisers. You may be asked to undergo a Police check by a school or event organiser even if you have already done a Police check for another school or event organiser.

    Participate in events as a role model

    1. You are expected to participate in an event as a role model once you have agreed to do so. If you cannot attend an event (eg, due to illness), you must give the event organisers as much notice as possible. 
    2. The TEC expects that each event will take place over two to three hours. You should discuss with the event organisers what your expected time commitment is likely to be. Your total time commitment will depend on the travel time to get to and from events for in-person events, and attendance at the pre-event meeting for online events. 
    3. You are responsible for:
      • getting to and from the event, including arranging transport, or access to a particular platform for an online event
      • reading all guidance on Inspiring the Future available on the website
      • ensuring you have all the information you need to participate in the event from the event organisers
      • meeting any costs that you incur (including for travel or transport, materials you bring with you, and time away from work)
      • finding out from the event organisers what sort of information they might share about you before and after the event, including with students and their whānau or caregivers.
    4. You must comply with any instructions you receive from the event organisers in advance of or on the day of the event, including in relation to photos and posting information about the event on social media.
    5. You must ensure that, at all times, your behaviour is respectful and not disruptive, and that your presentation and any information you share as part of the event does not contain any inappropriate, offensive, or derogatory language or content.
    6. If you are participating in an online event, you must comply with the terms of any platform used to host an event (for example, Google Meet or Microsoft Teams).

    After the event

    1. You may be asked to provide feedback to the TEC or the event organisers about your experience at an event, or as a role model more generally. You may also provide feedback to the event organisers about the event, or to the TEC at inspiringthefuture@tec.govt.nz.

    Deleting your profile

    1. If you decide you no longer want to participate in Inspiring the Future as a role model, you can email inspiringthefuture@tec.govt.nz or delete your profile directly through the Inspiring the Future platform. If you choose to delete your profile, the TEC will retain the complete information on your profile for 28 days. If your profile is deleted, the TEC will retain some anonymised information about you. If you have contacted us directly about issues with your profile, the TEC will retain some information about you. Please see our privacy policy for further details.

    Issues, incidents and complaints

    1. If you have any concerns about an event that you participated in, you may raise them directly with the event organisers. Please also contact the TEC directly to let us know about any concerns or complaints you have about particular events, including if there was an incident that you are concerned about, or the Inspiring the Future programme more generally, by emailing inspiringthefuture@tec.govt.nz.

    Public statements (including on social media and the internet)

    1. You must not share any information about your participation in a particular event, including on social media or on the internet (eg, your business's website), without first getting the relevant event organiser's and school's consent. Please be aware that schools may have policies about sharing information relating to students (including photos), which you must comply with.   

    Disclaimers

    1. The TEC's role in Inspiring the Future is to help role models and schools match with each other, and to provide guidance as to how events should be run. However, event organisers participating in Inspiring the Future are entirely responsible for determining how events will be run, and how you will be involved in an event as a role model. The TEC makes no guarantee:
      • that you will be matched with any school, or asked to attend events
      • about which events you will be invited to
      • about the experience you will have with Inspiring the Future, including how events will be run
      • about anything done (or not done) by a school or other event organiser participating in Inspiring the Future.

    Accuracy of information

    1. The TEC will use reasonable endeavours to ensure that the material on the Inspiring the Future platform, and all other information relating to Inspiring the Future, is reliable and accurate at the time of publishing. However, the TEC does not make any guarantees about the accuracy of any information provided by us in relation to Inspiring the Future, information on the Inspiring the Future website, or any information that you might receive from event organisers.

    No liability

    1. The TEC disclaims and excludes all liability for any claim, loss, demand or damages of any kind whatsoever (including for negligence) arising out of or in connection with:
      • your invitation to or attendance at events, or interactions with schools or event organisers
      • anything done (or not done) by schools or event organisers participating in Inspiring the Future
      • the use of any information, content or materials relating to Inspiring the Future included on the Inspiring the Future website or on any website we link to.

    Intellectual Property

    1. Any materials made available to you are subject to the Intellectual Property clause of the website terms and conditions.

    Changes to Inspiring the Future

    1. The TEC may make changes to the programme at any time, and to these terms, including without notice. We recommend you check the platform regularly for changes. 
    2. The TEC does not guarantee that Inspiring the Future will continue for any period.

     

    Terms of use for schools/event organisers

    Participating in Inspiring the Future as a school/event organiser – what you need to do

    School/event organiser sign up

    1. To access the database of role models, and organise Inspiring the Future events, a teacher or other school staff member with an Education Sector Logon (ESL) will need to sign up to Inspiring the Future on behalf of the school.
    2. Once a school staff member has signed up to Inspiring the Future, events for that school can be scheduled by the school, or by a person who works for an approved careers education organisation in the same region.
    3. The TEC determines the criteria for approved careers education organisations and trusted Inspiring the Future Aotearoa partners. A person working at these organisations can request an Education Sector Logon (ESL) from the TEC. If granted, this person can organise events on behalf of schools or other groups of young people.
    4. The information that an event organiser will need to provide to schedule an event includes the school's address. You will also need to provide some personal information about yourself (including your name and contact details) to be the registered contact person for the event. 
    5. All personal information about you relating to the Inspiring the Future Programme will be collected, used, stored and shared by the TEC as set out in our privacy policy. The TEC may also be required to release information about your participation in Inspiring the Future under the Official Information Act 1982.
    6. If there are any changes to the contact person for the event, please update the event details.

    Engaging with role models and running events

    1. Once you are signed up in the Inspiring the Future website, you will be able to view profiles of role models and organise events (either in-person or online events). You must not use profile information that you have access to as a result of signing up to Inspiring the Future for any other purpose.
    2. You are responsible for organising and running events. The TEC expects that, for the best results, event organisers will run events in accordance with guidance we provide for Inspiring the Future. When you organise events through the website, you will be asked to provide some general information about the students (eg, ages and languages they speak), the school, and the event.
    3. When you have organised an event, you are responsible for providing all the information that role models need to attend and participate effectively in the event, including engaging with role models about:
      • where the event will be held (and where they should go on the day of the event), or if the event is an online event, what platform the event will be hosted on (for example, Google Meet or Microsoft Teams)
      • how the event will be run
      • what the role model should do to prepare for the event, including the presentation they will give to students about their job/career
      • what the role model should do on the day of the event
      • whether an event is cancelled or postponed.
    4. The TEC intends to carry out a Ministry of Justice criminal record check on all people who apply to be role models. However, event organisers or schools are responsible for undertaking any Police checks or other background checks that may be required by the school, and for informing role models of any relevant school policies relating to their attendance at Inspiring the Future events (eg, policies regarding taking photographs or videos). While the TEC will endeavour to review all role model profiles that are uploaded to Inspiring the Future, we do not take any responsibility for conducting Police or other background checks on role models.
    5. The TEC is not responsible for any aspects of any Inspiring the Future events or any associated costs the event organiser or school may incur.
    6. You are responsible for providing any relevant information to students and parents about an Inspiring the Future event, before, during, or after the event.
    7. You are responsible for supervising role models and students throughout the event.
    8. The TEC expects that, at any Inspiring the Future event, staff will be respectful to the role models who participate.
    9. You may be asked to provide feedback to the TEC about your experience of an event. If you would like to provide feedback about your event, or a particular role model, please email inspiringthefuture@tec.govt.nz.

    Issues and complaints

    1. If you have any concerns about an event that you are planning or have run, or the Inspiring the Future programme more generally, please contact the TEC directly to let us know by emailing inspiringthefuture@tec.govt.nz. In particular, please advise us:
      • if you have any concerns about a role model whose profile is on the Inspiring the Future website, or who has been invited to or participated in an event
      • of any incidents that arose during (or in to) an Inspiring the Future event, which could relate to either role models or students.

    Disclaimers

    1. The TEC's role in Inspiring the Future is to help role models and schools match with each other, to provide a platform for organising events, and to provide guidance as to how Inspiring the Future events should be run. However, event organisers participating in Inspiring the Future are entirely responsible for determining how events will be run, and how role models will be involved in an event. The TEC makes no guarantee:
      • about role models that you will be matched with, and takes no responsibility for any role models you are matched with or interact with
      • that role models will accept invitations or attend events
      • about the experience you will have with Inspiring the Future, including as to the outcomes of events and a role model’s behaviour during an event.
    2. The TEC does not guarantee that the Inspiring the Future programme will continue for any period, and the TEC is entitled to make changes to the programme at any time.
    3. The TEC will make reasonable endeavours to ensure that material on the website is accurate, but does not make guarantees about the accuracy of information provided by the TEC in relation to the programme, information on the website, or any information you might receive from role models.

    No liability

    1. The TEC disclaims and excludes all liability for any claim, loss, demand or damages of any kind whatsoever (including for negligence) arising out of or in connection with:
      • your interactions with role models
      • organising and holding Inspiring the Future events
      • the use of any information, content or materials relating to Inspiring the Future included on this site or on any website we link to.

    License to TEC for material produced

    1. In relation to any material that your school produces in relation to the Inspiring the Future programme, but subject to the TEC’s privacy policy, you grant us a perpetual, irrevocable, royalty-free licence to use that material for the purposes for which Inspiring the Future exists.

    Intellectual Property

    1. Any materials made available to you are subject to the Intellectual Property clause of the website terms and conditions.

    1. The TEC may make changes to the programme at any time, and to these terms, including without notice. We recommend you check the platform regularly for changes.
